A simple starting point for building organized, consistent people practices as your team grows.
Start with documents that create consistency
When a small business starts hiring, everyday conversations quickly become policies, expectations and records. A few well-organized documents can help you communicate clearly, onboard people more smoothly and respond consistently when questions come up.
You do not need a large HR department to begin. Start with practical materials that match how your business actually operates, then review and update them as your team grows.
The five foundational documents
These are strong starting points for many small businesses:
- Offer letter: confirms the role, pay, start date and key expectations before a new hire begins.
- New-hire checklist: keeps paperwork, system access, orientation and first-day tasks from being missed.
- Employee handbook: brings core policies—such as conduct, attendance, time off, safety and technology—into one place.
- Performance review form: supports clearer feedback, goals and development conversations.
- Corrective-action record: creates a consistent format for documenting routine policy or performance concerns and next steps.
Use documents as working tools
A template is a starting point, not a substitute for judgment. Customize each document for the role, your workplace practices and applicable requirements. Keep completed records secure and use the same job-related process for similarly situated employees.
For sensitive concerns, including harassment, discrimination, retaliation, medical matters, wage issues or formal investigations, pause and seek qualified HR or legal guidance instead of relying on a general template.
